Start with the problem you want repotting to solve
Repotting can mean three different jobs: moving a healthy plant into a somewhat larger growing space, renewing worn-out medium in a similar-size container, or addressing damaged roots. Those jobs should not begin with the same shopping decision. If the plant is healthy but becoming difficult to keep evenly watered, crowding may be involved. If a small root system sits in persistently wet mix, extra volume can make the mismatch worse. Write down the symptom and how long it has been happening before removing the plant.
Use the previous month as context. Has a heater switched on, a curtain changed, a sunny window become shaded, or the watering routine changed? An environmental change can explain a plant's behavior without any new pot being required. Compare several watering cycles when the plant is stable enough to wait. Serious collapse, a soft stem base, or a foul-smelling root zone warrants prompt inspection and plant-specific advice, not an experiment with a bigger decorative planter.
Look for a pattern of root crowding
A root appearing at a drainage hole is useful information, but it does not reveal the whole root ball. Roots can find a moist outlet while considerable growing space remains elsewhere. A dense outer mesh, repeated circling, or a root mass that has displaced much of the usable medium is more persuasive when paired with other changes. Consider a hypothetical pothos that now needs attention much sooner after every thorough watering, even though its location and care have stayed similar. If its root ball is tightly crowded, the shortened watering interval supports the case for repotting. By contrast, one long root underneath an otherwise stable plant does not establish urgency. Photograph the root ball during an inspection so you can compare its condition later without repeatedly disturbing the plant.

Check whether water enters the root ball
Water racing out of the bottom can mean open drainage, but it can also mean that water is bypassing a dry, shrunken root ball. Inspect the medium after watering rather than judging the stream underneath. If the central root zone remains dry while water follows gaps along the pot wall, a careful rewetting process may be the immediate need. Repotting into more dry mix without fixing that central problem creates two different moisture zones that are difficult to manage.
At the opposite extreme, a pot that remains heavy and damp may have a blocked outlet, a hidden pool in an outer cover, deteriorated medium, or too few functioning roots for its size. Iowa State lists both wet and dry root-zone problems among causes of wilting. That is why a drooping plant should not automatically receive water or a larger pot. Inspect without turning the check into major surgery
Prepare a washable work area and support the plant while easing out the root ball. Remove a decorative cover first. If a flexible nursery pot resists, gently squeeze its sides; do not pull the plant by a leaf, cane, or thin stem. Check for roots catching under the pot before applying more force. Large, heavy, thorny, or irritating plants need an appropriately safe handling plan. An inspection is not worth a broken stem or an injury.
Look at structure, moisture, and texture together. Root colors differ among plants and growing media, so use the species' guidance instead of declaring every dark root dead. Firm roots, softened tissue, decomposed medium, and a sour smell tell different stories. If disease is suspected, clean tools between plants and keep questionable material away from the rest of the collection. Avoid stripping every grain of healthy medium from sensitive roots merely to make the result look tidy.
Choose between more space and fresh medium
A healthy crowded root system usually points toward a modest increase in pot size. A plant with substantial root loss may need no increase at all. A specimen that has reached the size you want may be a candidate for division or species-appropriate root maintenance, but that is a separate horticultural decision. Do not improvise severe root pruning on an unfamiliar plant just because a preferred cachepot is too small.
For ordinary houseplant repotting, NC State's Wayne County guidance suggests choosing a container no more than two inches wider than the existing one. Treat that as a practical starting range, not a command to add two inches to every tiny pot. Root volume and species still matter. Select a workable time and setup
When a healthy plant can wait, repot near a period when it is ready to grow rather than immediately before travel or another major environmental change. The point is to leave yourself time to observe the transition. Active growth, flowering, seasonal rest, and root sensitivity vary by species. An orchid in bark, a palm with a restrained root system, and a fast-growing leafy vine should not be managed as interchangeable houseplants.
Set out suitable medium, a clean container with drainage, a place to collect runoff, and an accurate plant label before starting. Estimate only the additional mix needed around the root ball; the new pot's full capacity is not the amount you must pour in. If a support needs replacing, plan that placement while the root ball is accessible. This avoids forcing a large pole through established roots during a separate job next month.
Make the first watering a new baseline
After potting, settle the medium according to the plant and mix instructions without compacting it hard. Maintain the intended planting depth and leave usable watering space below the rim. Ordinary leafy houseplants are commonly watered thoroughly after repotting and allowed to drain, but some plants and root treatments need different aftercare. Follow that specific guidance. Do not add fertilizer automatically when the fresh mix may already contain a nutrient charge.
Record the date, pot dimensions, medium, and first moisture check. The new container may take longer to dry than the previous one, particularly before roots occupy the added space. Returning to the old calendar can therefore undo an otherwise careful repot. Check the original root ball as well as the new surrounding mix where accessible. One can be relatively dry while the other still feels moist, especially when their textures differ.
Judge recovery by the next useful observations
Existing damaged leaves may not become green again, and a plant may pause while adjusting. Watch for stable posture, an appropriate drying pattern, and subsequent healthy growth. Take comparison photographs from the same side and light rather than repeatedly moving the plant around to find a flattering view. If decline continues, revisit the original diagnosis. More soil, more fertilizer, and another repot are not a sensible automatic sequence of escalating treatments.
A useful decision record is short: observed problem, root-ball findings, chosen intervention, and what will count as improvement. For example, 'crowded healthy roots; moved one size up; monitor whether thorough watering now reaches the whole root zone and lasts appropriately.' That is more actionable than 'repotted because it looked sad.' Buy the new container only after knowing which job it needs to perform. Sometimes the correct result of a repotting check is to leave the plant alone.
